Privacy Policy

Who we are

This website is run by PeakRatio Ltd (company number SC877859), registered at 48 West George Street, Glasgow G2 1BP. We're the data controller for the personal information collected through this site.

What we collect

When you use the Ratio Check tool or fill in our contact form, we collect:

  • Your name
  • Your email address
  • Any information you choose to add in the message or answers fields

We don't collect payment details, and we don't collect any information beyond what you supply through our forms, together with the small amount of form data generated when you send one (which form it was, which event it belonged to, and whether you ticked an optional box).

The "Before You Sign" checklist form (events)

When you scan the QR code at one of Brian's talks and ask for the Before You Sign checklist, we collect:

  • Your first name and surname
  • Your email address and phone number
  • Your company, and your trade or role if you choose one
  • Anything you type in the optional "biggest contract headache" box
  • Whether you ticked the box asking to arrange a call about a concern on a project or something in your business
  • Whether you ticked the box asking for occasional notes on commercial management
  • The event the form belongs to and the page it was sent from

We ask for your phone number and company so Brian can follow up with the people he met at the event, which is the point of the form. We use the details to send you the checklist, to follow up about the conversation at the event and, where it's relevant, about our advisory services. We only send the occasional commercial-management note if you ticked the box, and you can stop that at any time by replying or emailing us.

The supplier and partner form (AI Apprentice page)

If you supply AI tools, business software or implementation and send us your details through the form on the AI Apprentice page, we collect:

  • Your name and email address
  • Your company and, if you give it, its website
  • What you supply, the systems you work with and who you suit best
  • How you help a business adopt AI, and any questions you ask us

We use these details only to consider you for the short list of suppliers we may recommend to clients, and to reply to you. They are kept in our customer records as a supplier contact, not a sales lead.

Event bookings (AI Breakfast, Glasgow, 19 November 2026)

This invitation-only breakfast is run jointly by PeakRatio Ltd and Evolution Partnering Ltd, who are joint controllers of the booking data. When you book a seat, you do it on a payment page run by Stripe for Evolution Partnering Ltd, which collects:

  • Your name, email address and phone number
  • Your business name

We use these details to manage your seat: to confirm it and send you event details and reminders. After the morning we may contact you to ask how it went. Your £30 donation is taken on the same page; Stripe handles your card details, and neither PeakRatio nor Evolution Partnering sees them. If there's been no contact for 24 months, we delete your details, unless we're required to keep them longer for legal or accounting reasons. You can ask either of us to see, correct or delete your booking details at any time.

Why we collect it

We use this information to:

  • Respond to your enquiry or send you the results of your Ratio Check
  • Follow up with you about our advisory services, if that's relevant to what you've asked
  • Keep a record of who has contacted us and why

We don't use your information for anything else. We don't sell it, and we don't share it with third parties for marketing.

Our lawful basis for processing

We rely on legitimate interests as our lawful basis for collecting and using this information. This is the standard basis for SME lead capture, where someone actively fills in a form to request something, a diagnostic result, a reply to an enquiry, and a reasonable person would expect us to use their details to respond and, where relevant, follow up about our services.

This only holds because the processing is proportionate, limited to the contact details needed to respond and follow up, used only for the purpose the person engaged us for, and it's easy for anyone to opt out or ask us to delete their data at any time.

Where we send you anything beyond that follow-up, such as the occasional commercial-management note from the Before You Sign form, we rely on your consent, given by ticking the box. You can withdraw it at any time by emailing us, and we'll stop.

For event bookings, we process your details because you've asked us to book you a seat (the performance of a contract), and follow up after the event on the basis of legitimate interests. We won't add you to any mailing list from a booking.

How long we keep it

We keep enquiry, Ratio Check, Before You Sign checklist, event booking and supplier form data for as long as it's relevant to our relationship with you, and for a reasonable period after that in case you get back in touch. If there's been no contact or activity for 24 months, we'll delete it, unless we're required to keep it longer for legal or accounting reasons.

Who has access to it

Your information is stored securely and is accessible only to the people at PeakRatio Ltd who need it to respond to you or manage our client relationships. We don't sell it or pass it to any other organisation for their own use. The one exception is event bookings for an event we run with a partner, such as the AI Breakfast above, where the partner is a joint controller of the booking data for that event.

Form submissions on this site are delivered to us by Formspree (Formspree, Inc., United States), which acts as our processor: it receives what you type and emails it to us. Formspree processes the data on our instructions under its terms and data processing agreement, with standard contractual clauses covering the transfer outside the UK. Our email and files are held on Google Workspace under the same kind of safeguards.

Cookies, analytics and embedded video

We use Google Analytics to see how the site is used, so we can improve it. Analytics cookies are only set if you click Accept on the cookie banner. If you decline, or don't choose, Google Analytics still receives basic, cookieless measurements of page visits from your browser, such as the page viewed, the time and technical details of your browser and device, without storing anything on your device. We rely on legitimate interests for those cookieless measurements, and on your consent for analytics cookies. Your choice is remembered in your browser so we don't ask again.

Some news posts include a video played from YouTube (Google). We use YouTube's privacy-enhanced mode (youtube-nocookie.com). Loading one of those pages connects your browser to Google's servers, which receive your IP address and technical details of your browser, the same as any embedded content. If you press play, YouTube may store information on your device and handles the video under Google's own privacy policy, which can involve transfers outside the UK. Each of those posts also has a direct link to the video, which opens YouTube itself. The films on our own pages, such as the homepage and the watch pages, are hosted by us and don't involve YouTube.

Your rights

Under UK GDPR, you have the right to:

  • Ask us what information we hold about you
  • Ask us to correct anything that's inaccurate
  • Ask us to delete your information
  • Ask us to stop using your information, or restrict how we use it
  • Ask for a copy of your information in a portable format
  • Object to us processing your information, including for direct marketing

If you're unhappy with how we've handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
